Cupcake Decorating Activity for Large Corporate Groups in San Francisco
A cupcake decorating activity for large corporate groups is the format we recommend once your headcount passes about 30 people. Guests decorate their own cupcakes with frosting and decorations in roughly one to one and a half hours, and because people can take part in waves, the activity scales to headcounts that a seated cake class simply cannot hold.
Olesia Cake Studio is based in San Francisco. Our studio seats up to 30 guests, so for bigger companies we travel to your office or event venue across San Francisco and the Bay Area and bring everything with us. Below is how a large group cupcake event actually runs, what your team needs to prepare, and what we handle on the day.

Planner Summary
Ideal group size: 30 guests and up, with waves for very large headcounts. Duration: about one to one and a half hours per wave. Format: your office, an event venue, or our San Francisco studio for groups up to 30. Included: pre baked cupcakes, tools, American buttercream, custom colors, instructor and assistant, setup, cleanup, and take home boxes. Experience needed: none.
Why Cupcakes Scale Better Than a Seated Cake Class
A cake decorating class gives every guest a four inch cake, a full set of piping tools, and about two hours of seated work. That is a wonderful experience, but it needs a chair and a defined workspace for each person. Once you are planning for 60, 100, or 200 people, finding that much seated table space inside an office is usually the thing that stops the plan.
Cupcakes remove that constraint. Guests can decorate standing at a counter or a row of tables, the project takes minutes rather than an hour, and the station keeps working while people arrive and leave. That flexibility is why cupcake decorating is the format most large Bay Area companies end up choosing for all hands days, appreciation events, and floor wide celebrations.
How Waves Work on the Day
A wave is simply a smaller group that comes to the station together while the rest of the company carries on with the agenda. Our instructor gives a short demonstration, guests frost and decorate, and then they box up what they made and head back out. The next wave steps in and the cycle repeats.
In practice this means you do not have to pull an entire company off the floor at once. Waves fit neatly around a keynote, a lunch break, or the gaps in an all hands agenda. If your event has a fixed window instead, we can widen the station and run everyone through in a continuous flow. Tell us your headcount and your schedule and we will map the waves for you before the event.
What Your Room Needs
The requirements are light. We need tables we can use as a decorating station, room for guests to stand or sit around them, and access to a sink or a nearby kitchen area for cleanup. A cafeteria, an all hands space, a large conference room, or a lobby all work. Let us know the loading dock or elevator situation and roughly how far the room is from the building entrance, since that shapes our arrival time.
We arrive early, set up the station, run the activity, and clean up afterward. Your team does not need to prepare food, buy supplies, or stay behind to reset the room.
What Is Included
Every event includes pre baked cupcakes, decorating tools and materials, American buttercream, custom frosting colors, a professional instructor, assistant support, setup, cleanup, and individual take home boxes. Custom edible logos are available when you want the activity to carry your brand. Guests need no baking or decorating experience at all, which is a large part of why this activity works across a whole company rather than only the people who already bake.
Branding Cupcakes with Company Colors and Logos
Large events are usually tied to a moment: a product launch, a rebrand, a milestone quarter. We can match frosting to your company colors, add custom edible logos, and use themed decorations or custom toppers so the station looks like part of the event rather than a separate catering table. Send us your brand colors and a logo file when you book so we have time to prepare.
Dietary Planning for a Big Headcount
Vegan, egg free, and gluten free options can be requested at least seven days before the event. For a large group, the practical step is to collect dietary needs in the same form you use for headcount, then send us the totals. We prepare those portions separately and label them so guests can find their own without asking.
Where We Travel in San Francisco and the Bay Area
We regularly bring on site events to San Francisco, South San Francisco, Oakland, Berkeley, San Mateo, Redwood City, Palo Alto, Mountain View, Santa Clara, San Jose, Walnut Creek, and San Ramon. Our only physical studio is in San Francisco, and it hosts up to 30 guests, so anything larger happens at your office or your chosen venue.
How Booking Works
You send an inquiry with your date, headcount, and location. Olesia confirms availability and package details. A 50 percent deposit secures the date. Your final guest count and remaining payment are due seven days before the event. From there we coordinate arrival, setup, instruction, and cleanup with whoever is running the room. Corporate inquiries are normally answered within 24 hours.
Pricing depends on the event format, the size of your group, and the location, so we quote each event individually rather than publishing a flat rate.
FAQ
How large of a group can you host?
Our San Francisco studio holds up to 30 guests. For anything larger we travel to your office or venue and run cupcake decorating in waves, which lets us serve much bigger headcounts.
Do guests need decorating experience?
No. Our instructor demonstrates each step and the assistant helps at the tables, so people with no baking background finish comfortably.
How long does each wave take?
Plan on about one to one and a half hours for a full cupcake session. Shorter rotations are possible when the activity needs to sit inside a tight agenda.
Can you match our brand colors?
Yes. Custom frosting colors, edible logos, themed decorations, and custom toppers are all available. Send your colors and logo when you confirm the booking.
What does each guest take home?
Everyone boxes up the cupcakes they decorated in an individual take home box, which also keeps the end of the session tidy and quick.
How much does an event for a large group cost?
Pricing depends on your group size, the format you choose, and the location. Send us those details and we will put together a custom quote.
If you are planning an event for a large team in San Francisco or anywhere in the Bay Area, tell us your date, headcount, and location, and we will recommend a wave structure and send a custom quote.
