How to Choose a Corporate Team Building Activity by Group Size

4 min read

Choosing a corporate team building activity by group size is mostly a question of how many people can share one instructor and one room comfortably. Up to about 30 guests, a seated cake decorating or cake painting class works well. Above that, cupcake decorating in waves is the format that keeps everyone involved without the room falling apart.

Below is how we think about each size band at Olesia Cake Studio in San Francisco, based on what actually happens in the room rather than on a capacity number in a brochure.

Planner Summary

10 to 15 guests: cake decorating or cake painting, studio or office. 16 to 30 guests: cake decorating, studio or office. 31 to 60 guests: cupcake decorating on site, one or two waves. 60 and above: cupcake decorating on site in waves. Distributed teams: DIY kits with a minimum of ten kits.

Groups of 10 to 15

This is the size where an instructor can genuinely reach everyone. People ask questions out loud, conversation crosses the whole table, and the session feels like one group rather than several. Either the cake decorating class, at about two hours with a four inch round, heart shaped, or floral dome cake, or the cake painting class, at about one and a half hours, works beautifully here.

Small groups also make the studio a good choice, since leaving the office is easy to coordinate for a dozen people.

Groups of 16 to 30

Thirty is the upper limit of our San Francisco studio and, in our experience, the upper limit of a single seated class that still feels personal. The instructor demonstrates from the front and the assistant moves between tables, so nobody waits long for help. The cake decorating class is the strongest choice at this size because the finished cake gives the group a shared reference point afterward.

For a group in this band that would rather stay in the building, we bring the same class to your office anywhere in San Francisco and the Bay Area.

Groups of 31 to 60

This is the band where planners most often over reach. A seated cake class for 50 people needs a lot of table space and a long block on the calendar, and the experience thins out as the instructor gets further from the back row. Cupcake decorating solves both problems: it runs about one to one and a half hours and guests can work standing at a station.

If your group is at the low end of this band and the cake class is what you really want, tell us the room dimensions and we will tell you honestly whether it fits.

Groups of 60 and Above

At this size the activity has to work around your agenda rather than the other way round. We run cupcake decorating in waves: a smaller group comes to the station, gets a short demonstration, decorates, boxes up, and heads out while the next wave arrives. The station keeps running for as long as your window allows.

Send us your headcount and the shape of the day and we will map the waves before the event, so your run of show has real numbers in it rather than a placeholder.

When Your Group Is Split Across Locations

Headcount is not always in one room. DIY cake decorating kits include a mini cake, frosting, piping bags, a decorating tip, sprinkles, and instructions. DIY cookie decorating kits include cookies, icing, sprinkles, and packaging. Both have a minimum order of ten kits and both can carry custom colors and logo labels or logo cookies, so a distributed group can share the same activity.

The Room Math Behind These Bands

A seated cake class needs a chair and defined working space per guest, plus room for the instructor to be seen. Cake painting needs a similar setup with a smaller spread of materials. Cupcakes need the least, because a station serves many more people than the same square footage of seating. That is the whole reason the bands break where they do.

What Stays the Same at Every Size

Every event includes pre baked cakes or cupcakes, decorating tools and materials, American buttercream, custom frosting colors, custom edible logos, a professional instructor, assistant support, setup, cleanup, and individual take home boxes. Vegan, egg free, and gluten free options can be requested at least seven days ahead. Guests never need previous experience.

FAQ

What is the smallest group you will host?

Small teams are welcome. Send your headcount with your inquiry and we will confirm what works for a group that size and where it is best hosted.

How large of a group can you host?

Our San Francisco studio holds up to 30 guests. For larger groups we travel to your office or venue and run cupcake decorating in waves.

Can you split one large group into sessions?

Yes. Waves exist for exactly that, and they let the rest of the company stay on the agenda while each group takes its turn.

What if our headcount changes after booking?

The final guest count is due seven days before the event, which gives you time to settle numbers after invitations go out.

Does the price change with group size?

Pricing depends on the event format, group size, and location, so yes. Send us your numbers and we will prepare a custom quote.

Tell us how many people you are planning for, where they will be, and how long you have, and we will recommend the format that fits and send a custom quote.

Planning a corporate team building event with Olesia Cake Studio in the Bay Area?

Send us your event details, and we'll create a custom quote for your group.
